Settlements

Allocate every payment precisely — and never lose the trail

Record a payment once and allocate it across one or more invoices. Allocations live in an append-only ledger: corrections are reversing entries, and allocating more than is outstanding is refused.

How are payments matched to invoices in Invoice And Tax?

You record the payment once, then allocate it to one or more invoices. Every allocation is written to an append-only ledger; mistakes are corrected with reversing entries rather than edits; and the platform refuses any allocation that would exceed what is outstanding.

Outcomes

What you get

  • One payment, many invoices

Allocate a single receipt or payment across several invoices.

  • Append-only ledger

Allocations are never edited or deleted, so the history is complete.

  • Reversing entries

Corrections are explicit reversing entries you can see and explain.

  • Over-allocation refused

The platform blocks allocations that exceed the outstanding amount.

How it works

A ledger built for reconciliation

A payment arrives. You record it and allocate it across the invoices it covers. If an allocation was wrong, you reverse it and allocate again — both entries remain visible. Receivables and payables ageing read from the same ledger, so balances always match the allocations behind them.

  • Record the payment
  • Allocate across invoices
  • Reverse and re-allocate to correct

By role

What it means for each role

  • Finance team

    Balances you can trust

Ageing reflects exactly what has been allocated, with no hidden edits.

  • Accountant

    Explainable corrections

Every reversal is visible, which makes reviews and audits straightforward.

  • IT

    Safe by construction

Over-allocation is refused by the platform, not left to manual checks.

Settlement questions

Can one payment cover several invoices?

Yes. Allocate it across as many invoices as it covers.

How do I fix a wrong allocation?

Reverse it with a reversing entry and allocate again. Both entries stay in the ledger.

What stops us allocating too much?

The platform refuses any allocation that exceeds the outstanding amount.

Can I ask about settlements in plain language?

Optionally, through the read-only assistant, once enabled by an administrator.
